From Pod to Pack: How to Map a Reusable Vape SKU for UK Supply

A B2B documentation framework for mapping reusable vape SKUs for UK supply, from device and refill relationships to notification, packaging, duty and WEEE records.

Answer first

A reusable vape SKU map links a device, compatible refill, replacement coil where relevant, retail pack and supply-chain records. For UK trade supply, verify the reusable-vape test first, then connect the exact presentation to notification, labelling, duty-stamp and electrical-waste evidence.

Key Takeaways

  • A reusable vape must be rechargeable and refillable; where it has a coil, the coil must be removable and replaceable by the user.
  • Treat the device, pod, cartridge, tank, coil and e-liquid presentation as related but distinct records.
  • For nicotine-containing products in Great Britain, check the exact notified and published presentation before supply.
  • Keep reusable-design, origin, pack-status and verification evidence beside each SKU.

Start with a device-and-refill map

Map function, not the trade name. It has been illegal to sell, supply, offer to supply or hold for supply a single-use vape in the UK since 1 June 2025. Defra says a reusable vape needs a rechargeable battery and refillable liquid container. If it has a coil, that must be removable and replaceable by the user. Refills and coils should be separately available. Use the single-use vapes guidance for businesses with Aerova’s guide to what makes a vape reusable in the UK.

Set up a parent record for the device family and a child record for each device, pod, cartridge, tank, coil and e-liquid presentation. The parent record holds the model, charging method, liquid-container format and coil arrangement. Each child record identifies its compatible device and refill or replacement relationship.

A rechargeable but non-refillable product is still single-use. If a coil is replaced through a pod or cartridge, show the replacement item is separately available. Keep supplier information and orderable SKU references. Defra says a business must evidence legality, reusability and separate refill availability.

Match the precise presentation to MHRA and pack records

A range name is not a compliance record: check the item supplied. For nicotine-containing e-cigarettes and refill containers, the MHRA operates the notification scheme. In Great Britain, the product must be notified and published by the MHRA before sale. A producer includes a manufacturer, importer or business that rebrands a product as its own, according to MHRA consumer-product regulations guidance.

Against each nicotine-containing child SKU, record the brand and variant, market, responsible supplier or producer, notification reference or published-list check, and check date. Where a supplier says an identical product is notified, retain evidence connecting the purchased item to that presentation. GB and NI use different notification routes, so name the destination. Aerova’s MHRA notification guidance for private-label vape products provides role-based context.

Changes should trigger review. The Tobacco and Related Products Regulations 2016 require notification of a substantially modified product and product-component information, including the refill mechanism where relevant. Review changed pod format, refill method, liquid variant, nicotine strength, configuration or branding against the producer’s records.

For nicotine-containing items, map limits to the presentation: tanks must not exceed 2ml; refill containers 10ml; and nicotine strength 20mg/ml. The pack file should identify artwork and leaflet versions, batch-field location and nicotine information. The primary TRPR Part 6 text sets unit-pack, container-pack and leaflet requirements.

Pack presentation needs a separate check. MHRA’s Great Britain packaging guidance restricts misleading impressions about characteristics, health effects, risks or emissions, and comparative-safety, health/lifestyle and environmental claims. Use the internal UK vape packaging and labelling guide to structure review, then confirm current official requirements.

Retain supply, duty and WEEE evidence with every SKU

The SKU file should explain source, retail-pack status and electrical-product role. From 1 October 2026, liable vaping products released onto the UK market require a duty stamp. HMRC says it must be fixed to outermost retail packaging so opening damages pack or stamp. Use its wholesale and retail handling guidance.

At publication, unstamped product manufactured or imported before 1 October 2026 may be sold until 31 March 2027 where timing is evidenced. From 1 April 2027, vaping products outside duty suspension must carry a stamp and unstamped stock must not be sold or held. HMRC says records should be kept for at least six years, including supplier, invoice, delivery, timing and verification details.

Link supplier, invoice, delivery record, receipt lot, batch, source, duty-stamp status and verification date to the child SKU. For transition stock, retain manufacture or import-date evidence.

Vapes and their parts are electrical items. Defra says sellers must offer take-back for vapes, pods, coils and batteries. The OPSS and Defra WEEE guidance distinguishes producers from distributors. Record operator role, crossed-out wheeled-bin reference and take-back information. Relevant producer documentation and distributor take-back records must be retained for at least four years. See Aerova’s UK vape recycling and WEEE take-back guide.

FAQ

Does a rechargeable vape automatically count as reusable?

No. It must also be refillable. Where it contains a coil, the coil must be user-replaceable, directly or through a separately available replacement pod or cartridge.

Can one device record cover every pod and liquid option?

Use a parent record for shared information, but map each pod, cartridge, tank, coil and liquid presentation as a child SKU. This keeps compatibility, notification, pack and duty evidence tied to the right item.

What should a wholesaler retain for an unstamped transition item?

Keep manufacture or import-date evidence with source, invoice, delivery and verification records. HMRC’s transition ends on 31 March 2027; consult its latest guidance before handling stock.
